You Can Convert QuickBooks Desktop to QBO in the first 60 Days
You can import QuickBooks Desktop data within the First 60 days of starting a QuickBooks Online Company. Intuit offers a 30-day free trial of QuickBooks Online for those that want to try it before they buy it, and no credit card is required. Note that when we import your Desktop file it will replace your Online file and overwrite existing information entered. Your accountant will provide you with a checklist of action items for the conversion process and will inform you about the information that will not import with the conversion to QBO. The checklist will be uploaded into the From My Accountant folder.
If Your QuickBooks Desktop Version is Older than 2016, Download & Install Updated Trial
If you are using a version of QuickBooks Desktop that is older than 2016, you will download and install an updated trial and restore your company file in it for the conversion process. Do not register the trial version, as it can lock you out of QuickBooks. Please note that the installation and conversion will need to be done with Internet Explorer 11 (32-bit).Here is a link to Get Started.
Do Not Turn-On Payroll in QBO Prior to Desktop Conversion
We recommend that you do not attempt to convert from Desktop to Online if you have already turned on Payroll in QBO. The data will not convert properly, and errors will occur. Be sure to process any outstanding payroll and make payroll tax payments prior to conversion. Additionally, it is important to make sure that your accounting transactions are current, and your accounts are reconciled prior to creating the backup file for the conversion process.
Verify Your Sales Tax Filings are Current Before Migrating to QBO
You may need to make adjusting entries to sales tax filings after conversion. Verify your sales tax filings are current before we perform the migration. Your accountant will enter outstanding sales tax liabilities with this service.
Condense QuickBooks Desktop Files Over the 350,000 Target Limit
In order to convert to QuickBooks Online, your QuickBooks Desktop file must not exceed a total target limit of 350,000. If the file is over this limit, you will only be given the option to import your lists and balances when exporting. It’s advisable to condense your file to reduce the total targets amount so that your conversion can be done. Press Ctrl+1 to check Total Targets.
Only Plus or Advanced Subscriptions of QBO Can Import Inventory
Note that if you would like to import inventory from QuickBooks Desktop to QuickBooks Online, you will have to subscribe to QuickBooks Online Plus or QuickBooks Online Advanced. Also note that QBO uses the First-in-First-out (FIFO) accrual method for Inventory Asset value tracking. You must use the accrual accounting method if your business tracks inventory. Also note that only QuickBooks Desktop for Windows can export your current inventory quantities and values into QuickBooks Online. Be sure to let your accountant know if you plan to import inventory into QBO.

It is important to review and understand what does not convert from QuickBooks Desktop to QuickBooks Online. There are some key differences and features that do not convert to QBO. There are also differences with naming conventions and available fields between the two QuickBooks versions. Create a Backup Copy of Your Updated QuickBooks Desktop File
With this service, we require that you provide your accountant with a backup copy of your fully updated QuickBooks Desktop File and provide your current Admin User ID and Password. The password can be changed after the conversion is complete if you choose. Your accountant will need login details in order to perform the conversion. They will also require that you create your QuickBooks Online account and send them an Accountant Invitation.
We Will Enter Transactions and Make Journal Entries in QBO
With this service, your accountant will enter transactions and make journal entries in your new QuickBooks Online account to ensure that your Financial Reports match between QuickBooks Desktop and QuickBooks Online. They will match your Balance Sheet, Profit and Loss, Statement of Cash Flows, Accounts Payable and Accounts Receivable Aging reports. They will also match your class, products, services, inventory, projects, employee, customer and vendor lists. Your accountant will make sure that any outstanding customer invoices, estimates, deposits, and payments are accurately recorded, and they will make sure that any outstanding vendor bills, bill payments and purchase orders are accurately recorded.
We Will Help Reconnect Bank, Credit Card, POS Accounts and Apps
With this service, your accountant will assist you via Amazon Chime to reconnect your bank, credit card, point-of-sale and other applications to your new QuickBooks Online account. Please note that our firm will never ask you for your login ID’s or passwords for your bank, credit card, point-of-sale or other connected applications, we do not manage or store this type of confidential information for privacy and security reasons.
