When an expense transaction comes through your bank feed from an unknown vendor your accountant will send you a notification requesting vendor information that will show up on your client dashboard. When you access the notification via your client dashboard, you will have the option to select an existing vendor from a list and you can add vendor details into a form directly within the request on your client dashboard. A selection is made from the list if the vendor already exists. Notes regarding the expense transaction can be entered within the request on your client dashboard as well. If you have selected our QuickBooks Online monthly A/P and Expense Entry Service, you will receive routine requests for vendor information.

Some Entry Fields are Required, While Others are Optional

Your accountant will add vendor details with the information provided. In order to add a new vendor, you should complete all required fields. Please also upload a completed W-9 form for the vendor into a folder within your document upload portal to attach to their QBO vendor profile. Your accountant will use the W-9 form to correctly setup the new vendor account for 1099 tracking. Below is a list of the required vendor setup fields.

  • Name – The display name

  • Company – The company name

  • Address – The street address

  • City – The city name

  • Zip Code – The postal code

  • Country – The country name

  • State – The state name

  • Email – The primary email contact

  • Phone – The primary contact phone

  • Terms – The payment terms for the account
