If you have selected our monthly A/P and Expense Entry Service, your accountant will add new vendor bills into QuickBooks Online. When a vendor payment comes into the bank feed your accountant may not have enough information to match the payment to an existing vendor bill. Copies of vendor bills should be uploaded into a folder within your secure document upload portal. Your accountant will send you notifications requesting vendor bill information that will show up on your client dashboard. You will select existing vendor bills form a list and enter new vendor bill information into a form directly within the request.

Some Entry Fields are Required, While Others are Optional

Your accountant will add vendor bills with the information provided. In order to create vendor bills, you should complete all required fields. Bills are added by your accountant will our monthly A/P and Expense Entry and other monthly service offerings. Most vendor bills are for the purchase of product and service items. If the vendor bills is for product and service items, enter N/A into the required expense fields and complete the optional fields for the product and service items to be included in the vendor bill. Below is a list of required fields for entering vendor bills.

  • Bill Number

  • Vendor Name

  • Bill Date

  • Due Date

  • Terms

  • Street Address

  • City Name

  • Zip Code (Postal Code)

  • Country Name

  • State Name

  • Expense Account (or Product/Service Item)

  • Expense Description (or Product/Service Item Description)

  • Expense Line Amount (or Product/Service Line Item Amount)
