If you have selected Purchase Order Entry Services, you may need to select or add new purchase orders in QuickBooks Online. Your accountant may not have enough information to match a vendor invoice to a purchase order, or to know when to copy an existing PO to a bill. Copies of vendor orders should be uploaded into a folder within your secure document upload portal for your accountant. Your accountant will send you a notification requesting purchase order information that will show up on your client dashboard. You will be able to select from a list of existing purchase orders and add new purchase order details into a form directly into the request on your client dashboard.

Some Entry Fields are Required, While Others are Optional

Your accountant will add a vendor purchase orders with the information provided. In order to create purchase orders, you should complete all required fields. PO’s are only added when you select our Purchase Order Entry service offering. Below is a list of required fields for entering purchase orders. Please note that we have listed the expense account, description and amount as a required field below and on the form. PO’s are typically for products and services which is an optional field in the form. Place an N/A in each expense fields and enter the product and services items for purchase orders.

  • Vendor Name

  • PO Date

  • Due Date

  • Mailing Address

  • Mailing City

  • Mailing Zip Code (Postal Code)

  • Mailing Country

  • Mailing State

  • Shipping To Address

  • Shipping To City

  • Shipping To Zip Code (Postal Code)

  • Shipping To State

  • Expense Account (or Product and Service Item)

  • Expense Description (or Product and Service Item Description)

  • Expense Line Amount (or Product and Service Line Item Amount)
